Want to get your contacts into CallHub so you can start calling and texting them? You can add people one at a time or import thousands at once from a CSV file. This article covers both.
Before you start
- For bulk imports, have a .csv file of your contacts ready. Excel files (.xlsx) aren't supported, so export or save your spreadsheet as CSV first.
- Adding an individual contact takes under a minute; a bulk import takes about 5 minutes.
Add a contact individually
Use this when you have one or two people to add, like a new volunteer or a walk-in supporter.

On the sidebar, click Contacts, then click + Create Contact List in the menu bar. You can also go straight to app.callhub.io/contact.

Enter a name for the contact list and click Next, Add contacts
- Choose Add Individual Contacts.
- Enter the contact's details: first name, last name, contact number, and mobile number.
- Select the contact list you want to add the contact to from the drop-down.
Import contacts in bulk from a CSV
Use this when you have a whole list, like an export from your CRM or a sign-up sheet.
- On the sidebar, click Contacts, then click + Create Contact List in the menu bar.
- Enter a name for the contact list and click Next, Add contacts.
- Choose Import a list of contacts.

Choose the CSV file from your device and click Import.

Map each column in your CSV to the matching contact field on your account, so names and numbers land in the right places.
- Select your CSV settings and click Create Contact List. Let CallHub process the file in the background. A banner confirms your contacts are being imported, and CallHub emails you when it's done. To watch the progress, click View activity; the Import activity panel shows how many records are processed so far.
How Auto-fill blank numbers works

Check your imports in Import activity
After you start an import, CallHub takes you to the Contact List page. An Import activity bar at the top summarizes your imports at a glance, showing how many are in progress and how many have completed. Click View activity on the bar to open the full panel, or Close to dismiss the bar.
In the panel, each import appears with its contact list name, when it ran, and its status: a live progress bar with the record count while it's still running, and a green check with the completion time and the number of contacts added once it's done. Click View details on any completed import for more information, and click Hide to close the panel.
Notes & limits
ⓘ Big lists arrive in batches. Contacts are added in batches of 5,000 as they're processed, so a large list fills up gradually. You don't need to stay on the page; CallHub emails you when the import finishes.
ⓘ CSV only for bulk imports. CallHub reads .csv files, not .xlsx. In Excel or Google Sheets, use Save As or Download and pick CSV before importing.
✓ Importing international numbers? Enter each number starting with + and the country code, for example +44 20 1234 5678, so CallHub recognizes the country correctly.

Can I import an Excel (.xlsx) file?
No. Bulk imports work only with .csv files. Save your spreadsheet as CSV and import that.

My list shows fewer contacts than my CSV. Is something wrong?
Probably not; the import may still be running. Contacts land in batches of 5,000, so check View activity for the progress, or wait for the completion email before comparing counts.
