Want CallHub to stop dialing someone the moment they complete your survey? Set up a Stop Outreach Workflow so tagged contacts drop out of the retry queue automatically. This guide is for campaign managers and admins who run Call Center campaigns.
Why use this
When retries are on, a contact who doesn't pick up gets a NO_ANSWER disposition and goes back into the calling queue. That is exactly what you want while you are still trying to reach them. The problem starts when the contact reaches you first.
If inbound calling is enabled and a contact calls back, talks to an agent, completes the survey, and hangs up, the retry mechanism has no idea the conversation happened. It still has them queued from the earlier missed call, so it dials them again. The same thing happens when a contact reaches an agent on a second attempt while a third attempt is already scheduled.
Stop Outreach closes that gap. You attach a tag to the survey response that means "this person is done." When an agent selects that response, CallHub tags the contact, the Workflow fires, and every remaining retry and scheduled callback for that contact is cancelled in the campaigns you choose.
What you get out of it
- Fewer wasted calls. Every cancelled retry is calling credit you keep and agent minutes you spend on contacts who haven't been reached yet.
- No repeat calls to the same person. Being called three more times after you've already answered the questions is the fastest way to turn a supporter into a complaint. This is a reputation safeguard as much as an efficiency one.
- Cleaner data. Tagged contacts are marked Completed rather than sitting in the queue as unresolved, so your contact-level completion numbers reflect who you actually spoke to.
- Agents work a shorter, truer list. The queue holds people who still need a conversation, so pickup rates and connect rates improve without changing anything else.
- A reusable pattern. Once the tag exists, you can point the same Workflow at future campaigns instead of rebuilding the logic each cycle.
This matters most for voter persuasion and GOTV (Get Out the Vote) programs, where volume is high, the calling window is short, and re-contacting someone who already committed can cost you the goodwill you just earned. It works just as well for pledge drives, event RSVPs, and member surveys: any campaign where one complete answer per contact is the goal.
Before you start
- Your Call Center campaign should already exist and have a survey question in its script.
- Decide which survey response means the conversation is finished. That single choice drives everything below.
⚠ WARNING: Publishing is final. A published Workflow cannot be edited, only drafts can, so confirm your trigger tag and selected campaigns before you publish. To change anything afterwards you have to build a new Workflow.
Steps
Step 1: Create the tag
- Go to your account Settings in the left menu bar and open the Tags section.

Create a tag for this Workflow and name it after the outcome, for example
survey-completed. See How to create tags and use them in campaigns for the full process.
Step 2: Attach the tag to a survey response
- Open your Call Center campaign and go to the script's survey question.

On the response that means the contact is finished, attach the tag you just created. When an agent selects that response during a call, CallHub adds the tag to the contact automatically.
ⓘ NOTE: Without this step nothing else works. The Workflow listens for the tag, and the tag only reaches the contact through the survey response an agent selects.
Step 3: Build the Workflow
- From the left menu bar, go to Workflow and click Create Workflow. New to the builder? Follow Set up a Workflow in CallHub.
- Name it something you'll recognise later, such as "Stop outreach after survey completed."
- Select Tag is added as the trigger.

Select the tag you created in Step 1, and the campaign the tag will come from.
- Click the + below the trigger and choose the Stop Outreach Action.
- In the action settings, select the Call Center campaign it should apply to.
- Review the chart from trigger to action, then click Publish.
ⓘ NOTE: Triggers act on future data only. Contacts who were tagged before you published the Workflow will not enter it. Only tags added after publishing start the flow.
ⓘ NOTE: Stop Outreach ends calling for the contact. It does not opt them out of your account. If a contact asks to stop hearing from you entirely, use the Add to DNC action instead, which suppresses them across all channels. See the Workflow triggers, conditions, and actions reference.
FAQs
Does this work when the contact calls in rather than an agent calling out?
Yes, and that's the main case it was built for. If a contact calls back on your inbound line, completes the survey, and hangs up, the tag fires the Workflow and their pending retries are cancelled.
What happens to callbacks that are already scheduled?
They are cancelled along with the retries. Once the contact is tagged, all further calls in the selected campaigns stop and the contact is marked Completed.
Can I edit the Workflow later to add another campaign?
No. Published Workflows cannot be edited. Create a new Workflow using the same trigger tag with the additional campaigns selected.
