Why your dialer choice matters
Your dialer controls how fast calls go out, how many numbers are dialed at once, and how agents get connected to live contacts. The right choice depends on your call list quality, campaign timeline, number of agents, and how much screening or personalization you want. Pick well and you get more conversations per agent hour with fewer dropped calls. Pick a mode that does not fit your list or team, and you either leave agents idle or frustrate contacts with calls that connect to no one.
CallHub offers four dialing modes: Power Dialer, Auto Dialer, Predictive Dialer, and Preview Dialer.
Power Dialer
The Power Dialer gives agents complete control over pacing. When an agent is ready, they click the Next Call button and the system dials the next contact from the contact list.
When to use it: smaller campaigns, or any campaign where conversations require personalization. Because the agent decides when to move forward, they have time to take notes, review details, or prepare before the next call.
Auto Dialer
With the Auto Dialer, the system dials numbers automatically whenever agents are available. This reduces idle time and increases calling pace. You choose a dialing ratio, and the ratio changes how the Auto Dialer behaves:
- 1:1 ratio: one number is dialed for every free agent. Agents connect to only one call at a time. This balances speed with personalization and suits campaigns where conversations still need attention to detail but outreach speed matters.
- 2:1 ratio: two numbers are dialed for each free agent. This increases the chance of reaching a live contact quickly. If both calls are answered, the system connects the agent to the first one and drops the other call. Efficiency improves, but some contacts may answer and find no one on the line.
- 3:1 ratio: three numbers are dialed for every free agent. This maximizes the likelihood of connecting with a live contact almost instantly and suits large-scale outreach where speed matters more than personalization. It also carries the highest risk of dropped calls when multiple contacts answer at the same time.
When to use it: medium to large campaigns where agent productivity is the priority. Organizations often use the Auto Dialer for voter outreach, membership drives, or event reminders, where reaching more people quickly outweighs the need for highly personalized conversations.
⚠ Higher Auto Dialer ratios (2:1 and 3:1) increase the risk of dropped or abandoned calls when several contacts answer at once. Dropped calls hurt the contact experience, and call-abandonment rates are regulated in some regions, so weigh speed against that risk before raising the ratio.
Predictive Dialer
The Predictive Dialer uses algorithms to dial numbers ahead of time, before an agent is free. It factors in:
- Agent availability
- Call pickup rates
- Average handling time
- Drop rates
By analyzing these elements, the Predictive Dialer minimizes idle time and maximizes talk-time efficiency.
When to use it: large campaigns with clean call lists and multiple agents available. For smaller lists or campaigns with poor data quality, results may not be as effective.
Preview Dialer
The Preview Dialer shows agents the contact's details before any call is placed. Before dialing, an agent can review:
- Past interactions and previous call history
- Notes from earlier calls
- CRM data, including donation history and past behaviors
Once prepared, the agent decides when to place the call. Agents can also strategize, make notes, or send texts before dialing, and they can log notes, update contact details, and schedule follow-ups right after each call.
This solves a common problem: agents who are connected to calls without context tend to have impersonal conversations, lower engagement, and missed opportunities. With time to prepare, agents can tailor their approach to each contact, answer questions accurately, and handle objections with confidence. Because the agent initiates each call only when ready, there are fewer delays and dropped calls, and the agent keeps full control over the dialing process, which supports compliance with regulations and internal policies.
When to use it: high-value or sensitive conversations, such as fundraising, donor engagement, or outreach to VIP contacts, where context and personalization are crucial.
