Proactive Number Rotation is designed to optimize outbound calling campaigns by dynamically rotating caller IDs to improve call connectivity and increase efficiency. This article provides an overview of how Proactive Number Rotation works and the steps involved in activating and managing it in your Call Center Campaigns.
Users can activate Proactive Number Rotation by enabling Dynamic Caller ID. Here, users can choose between automatically renting a new block of numbers or utilizing an existing block.
How does the Rotation work?
Upon initiating a campaign, the system automatically rents a block of numbers to be used as caller IDs. The number of rented numbers is determined based on the total number of active agents added to the campaign, multiplied by a predefined factor (e.g., five).
This ensures that an adequate number of caller IDs are available to support the outbound calling efforts. Furthermore, if a particular caller ID reaches a threshold, say 300 calls, it is temporarily placed on hold for a specified period. During this time, the system adds a new number to the block to ensure the continuous availability of caller IDs for outgoing calls.
Call counts are meticulously recorded for each caller ID, with the tally resetting after a predetermined period (e.g., three days). If a caller ID reaches the maximum call limit within this timeframe, it is temporarily placed on hold to prevent excessive usage. Once the hold period expires, the caller ID becomes available for use again, allowing for ongoing rotation and utilization of numbers.
Are Busy and Switched-off numbers considered under the Rotation?
Yes, busy or switched-off calls are indeed considered under the 300-call limit. This ensures that all call attempts, regardless of their outcome, are accounted for in the rotation process.
Preference for Renting/Reusing Numbers:
The system prioritizes the renting of numbers as follows:
- Reactivation of paused caller IDs after the cool-off period.
- Rental of numbers from other rotating blocks if available.
- Rental of numbers from the default state area code/city for the account.
- If a number is unavailable in the state, other states with the same timezone are considered.
- Numbers are rented from any part of the US if required.
Proactive Number Rotation offers a proactive approach to managing caller IDs, ensuring optimal call connectivity and adherence to call volume limits. Users can effectively leverage this feature to enhance the outreach from their outbound calling campaigns.
