See how each send performed and how the campaign is doing overall, in one place, without duplicating campaigns or stitching numbers together yourself. This guide is for campaign managers running a recurring text or calling campaign.
Why recurring campaign reporting is worth using
A recurring campaign sends the same texts or calls on a repeating schedule: daily, weekly, monthly, or on custom dates. That saves you from rebuilding a campaign every time you want to follow up. It also changes how you read your numbers, and that is where the real benefit is.
Because every send lives inside one campaign, you get:
- One place to track performance. You don't have to open five separate campaigns to see how five weeks of outreach went.
- A per-send view. You can open any single cycle and see exactly who was reached and how they responded on that date.
- A campaign-wide view. You can see total contacts reached, total replies, and total opt-outs across every send so far.
- A trend you can act on. Comparing occurrences side by side shows you whether replies are climbing, flattening, or dropping off, and whether opt-outs are creeping up.
- A live schedule. You can see which sends are completed, which one is in progress, and which are still scheduled ahead.
In practice, you can expect to answer questions like "did the Tuesday reminder work better than the Friday one?" and "are we wearing this list out?" without exporting anything or doing manual math.
Before you start
- You need manager access to the campaign.
- The campaign must already have recurrence enabled.
- At least one cycle needs to have run before there is anything to read.
ⓘ NOTE: "Cycle" and "occurrence" both mean one scheduled send of the campaign. You'll see cycle used when you filter results, and occurrence used when you look at the campaign as a whole.
How to read the Overview stats
The Overview statistics on a recurring campaign show the current recurring cycle only. The counts of texts or calls sent there belong to the send that is running now, not to the campaign's lifetime.
⚠ WARNING: Don't read the Overview numbers as your campaign totals. They reset with each cycle, so using them for a report or a stakeholder update will understate your outreach. Use the Occurrences tab for campaign-wide totals.
View results for a single cycle
Use this when you want to know who was contacted on a specific date and what they said.
- Go to Campaigns and open the recurring campaign you want to review.
- For a texting campaign, open the Responses tab. For a calling campaign, open the Results tab.
- Open the Recurring Cycle dropdown and choose the cycle you want to see.
- Repeat step 3 for any other cycle you want to compare.
View stats across all occurrences
Use this when you want the campaign's full picture rather than one send.
- Open the campaign and go to the Occurrences tab.
- Read the campaign-wide totals at the top: total contacts reached, total contacts who replied, and total contacts who opted out.
- Scroll to the per-occurrence outreach stats to compare each send against the others.
Notes & limits
⚠ WARNING: Watch the opt-out count on the Occurrences tab as your compliance signal. Repeated outreach to the same audience is exactly where opt-out and complaint rates climb, and TCPA and carrier rules require you to honor those requests. A rising opt-out trend across occurrences is your cue to slow the cadence, change the message, or tighten the audience before the next send.
ⓘ NOTE: Occurrence stats only cover sends that have already run. Scheduled occurrences appear in the list but have no outreach numbers yet.
FAQs
Why are my Overview stats lower than the number of contacts in my list?
Overview shows the current recurring cycle, not the campaign's lifetime. Open the Occurrences tab for totals across every send.
Where do I see the contacts who opted out?
On the Occurrences tab, alongside total contacts reached and total contacts who replied.
Do I have to open every cycle one by one to get a total?
No. Per-cycle filtering on the Responses or Results tab is for detail. The Occurrences tab already gives you the campaign-wide totals.
Can I see sends that haven't happened yet? Yes. The Occurrences tab shows scheduled occurrences alongside completed and in-progress ones, so you can confirm the schedule is still running as planned.
