Want your imported Salesforce lists to stay current, and to keep people who opted out of calls or texts out of your outreach? Turn on Auto-Sync and choose your opt-out fields once, and CallHub handles both in the background. This article is for campaign managers who have already imported a Salesforce Campaign.
Why use Auto-Sync and opt-out settings
Without Auto-Sync, an imported list is a snapshot. If you update or remove leads in Salesforce later, your CallHub list doesn't match until you press Import again, which means some calls and texts go to outdated contacts, new leads miss campaigns, and agents work with wrong or incomplete information.
With Auto-Sync on, CallHub keeps the list fresh for you:
You avoid stale data. Outdated names, phone numbers, and details don't reach agents during live campaigns.
You avoid campaign disruptions. The same list is refreshed in place, so you never delete or re-import a list mid-campaign.
You save manual effort. You don't need to remember to sync after every Salesforce update.
With opt-out fields set, people flagged Do Not Call or Do Not Text in Salesforce are left out of your CallHub lists and campaign targeting, and opt-outs recorded in CallHub flow back to Salesforce.
Before you start
- Connect Salesforce to CallHub and import your contacts first.
- In Salesforce, know which fields hold your Do Not Call and Do Not Text flags.
- You need a CallHub account with permission to manage integrations.
- Takes about 5 minutes.
Turn on Auto-Sync
- Go to the Import tab in the Salesforce integration.
- Click the text box and select the Salesforce Campaign you want to import.
- Tick the Auto-Sync opt-in checkbox.
- Click Import.
CallHub now detects when contact fields in Salesforce are updated and refreshes the same list in the background, without deleting it or disrupting a running campaign. It runs once every 2 hours (120 minutes).
Set your opt-out preferences
- Go to Integrations > Salesforce > Import > Settings and scroll to the opt-out section.
- From the dropdown, choose the Salesforce fields CallHub should treat as Do Not Call and Do Not Text. Pick the fields that hold your opt-out flags.
CallHub checks these flags when contacts come in from Salesforce and when updates go back. Contacts marked with these preferences are excluded from your CallHub outreach lists and campaign targeting.
Notes & limits
⚠ An opt-out in CallHub updates only the matching Salesforce field. If someone opts out of texts, only Do Not Text is set, and they can still be called. Why: each channel has its own field, so a channel-specific opt-out stays accurate instead of blocking everything. If someone asks for no contact at all, make sure both fields are set.
ⓘ If a person's opt-out status changes in Salesforce later, CallHub applies the update automatically, so future campaigns respect their current preferences.
ⓘ The 2-hour Auto-Sync interval can be changed on request. Submit a request if you need a different interval.
✓Check the Last Synced on indicator before a big campaign launch. If you need changes right now, press Import to refresh immediately.
FAQs
How current is my imported list?
With Auto-Sync on, at most about 2 hours behind Salesforce. Check the Last Synced on date and time to confirm.
Will Auto-Sync disrupt my running campaign?
No. It refreshes the same list in place, without deleting it.
Does an opt-out in CallHub block every channel in Salesforce?
No. CallHub updates only the matching field, so a text opt-out updates Do Not Text and leaves calling untouched.
Why are my CallHub and Salesforce contact counts different?
Contacts flagged Do Not Call or Do Not Text in your chosen fields are excluded, and people who are not members of the imported Campaign never come over.
